How We Collect Your InformationWe collect the following information from you, which is collectively referred to as Personal Information (“Personal Information”), as this information identifies you as an individual.
Note that Personal Information is commonly referred to as personal information or personally identifiable information (the “PII”) in the US and as Personal Data in Europe. Throughout this Policy, we will refer to such information as Personal Information, unless a statutory definition otherwise applies. Also note that Personal Information includes User Information as defined below.
There are three categories of information that we collect:
Information that we need you to provide to enable you to sign up for RelyChan Services or information that you otherwise provide us in connection with your use of the RelyChan Services.
Account Information: When you sign up for an RelyChan account (“User Account”), we require certain Personal Information such as name, your e-mail address, GitHub Id or Google Id, organization, job title and other such information regarding account registration and/or credentials, for the purpose of user registration, identification and account verification.
Payment Transaction Information: We may collect your first name, last name, phone number, billing address, when you register for RelyChan Services. Your credit card and credit card related billing details are collected through a third-party gateway to which you will be required to provide requisite information separately in order to process your payments. The third-party payment gateway will in turn share with us the last 4 (four) digits of your card number for identification purpose only. Information you provide when you enter information on our website, or answer online questionnaires, surveys or feedback forms.
Information you provide when you subscribe to email newsletters such as name, email address, job title.
Any other information that you provide to us in connection with your use of or interaction with the RelyChan Services.
Information we automatically collect from your use of the RelyChan Services.
When you use the RelyChan Services, we automatically collect information, including Personal Information, about the services you use and how you use them. This information is necessary for the effective performance of the contract between you and us, to enable us to comply with applicable laws and to provide and improve the functionalities relating to the RelyChan Services.
IP and Geo-location Data: When you use certain features of the RelyChan Services, we may collect your IP address and infer other information from it like your location, your Internet Service Provider (the “ISP”), the type of your connection, and, if the connection is registered to a business, the name of the organization.
Device and Browser Information: We may collect information about your devices that are used to interact with RelyChan Services which includes the device's address, Operating System (the “OS”), system architecture, certain information that your web browser sends whenever you visit any website.
Information you provide to us (i) in connection with our sales and/or marketing efforts, including, without limitation, our email newsletters and emails regarding RelyChan product/services updates or information, websites, social media sites/applications, sale and/or marketing events or conferences or (ii) where we refer you to this Policy.
As part of our sales and marketing effort, we may collect and/or you may provide information about yourself or your company, including Personal Information. This information is necessary for us to manage, improve and promote our business, products, services and brand and administer and participate in conferences and other sales and marketing events and activities.
Information you provide in connection with our attendance or participation in a conference or other sales and marketing events to receive information or research materials regarding RelyChan products/services.
Information you provide when you interact with our social media sites or applications.
Information collected when you attend our sales and marketing events.
This Policy does not apply to, nor does RelyChan take any responsibility for any information that is collected by any third party either using the RelyChan Services or through any third-party links made available to you during your use of the RelyChan Services, through any advertisements or through bots. Please note that you will be bound by the terms and privacy policies published by third parties in respect of any information that you may provide to them by using RelyChan Services. Some of the technologies that we use to collect Personal Information include functions that allow us to “profile” you. This just means that we can assess certain characteristics in order to analyze your personal preferences, interests or behaviour. We do this to personalize your experience of our websites, social media sites and applications. These functions can be activated by accepting cookies on our Websites.
Cross-border TransfersAs described in Section 6 of this Privacy Policy, your Personal Information may be transferred and stored outside Canada (and, if you are located in Quebec, outside Quebec) by RelyChan and/or our service providers. Accordingly, your information may be accessible to courts, law enforcement and national authorities in other countries. You may contact our Privacy Officer, as set out in Section 17 of this Privacy Policy, if you have questions about the collection, use, disclosure or storage of Personal Information by our service providers (including affiliates) outside Canada or to obtain written information about our policies and practices with respect to service providers outside Canada.
Your RightsIf you are located in Canada, you also have certain rights with respect to your Personal Information. Such rights are similar to those described in Section 6.4 of this Privacy Policy, but your specific rights will depend on the Province or Territory where you are located.
In particular, without limitation, you generally have the right to access and rectify your Personal Information and to withdraw consent to the use or communication of your Personal Information. However, such rights may be subject to certain limitations and exceptions. Nothing in this Privacy Policy is intended to change your rights or create any rights that do not exist under the laws in the jurisdiction where you are located.

Roles and Responsibilities of PersonnelYour Personal Information will be accessible to Customer Support, Information Technology, Information Security, Marketing, and Platform/Product teams.
RelyChan’s CEO has overall responsibility for our compliance with applicable privacy laws. However, certain functions have been assigned to:
• RelyChan’s Privacy Officer, including responsibility for the day-to-day administration and implementation of RelyChan’s privacy program, such as developing and delivering privacy training to relevant personnel, establishing and publishing relevant policies and procedures, investigating and responding to complaints and alleged violations of RelyChan’s privacy policies or relevant laws, responding to requests from individuals to exercise their rights under applicable privacy laws, and regularly reviewing and identifying opportunities to improve RelyChan’s privacy program.
• RelyChan’s Chief Information Security Officer, including preparing a written information security program, assisting with breach prevention, response and containment, and evaluating and implementing information security controls.
• RelyChan’s Director of Marketing Operations, with the responsibility to manage and respond to customer data subject requests and ensuring consent requirements are followed for direct marketing purposes.
• IT & System Administrators, including the management of the systems where Personal Information may be stored, processed, or transmitted.
• Customer Support Team, with the responsibility of processing Personal Information as part of providing support to customers.
In addition, all RelyChan personnel are responsible for:
• protecting the confidentiality and security of any Personal Information they handle in connection with their employment;
• following RelyChan’s security measures and its policies and procedures for handling Personal Information;
• refraining from any unauthorized access, use or disclosure of Personal Information;
• facilitating data subject requests; and
• reporting security or confidentiality incidents.
Retention and DestructionWe retain your information for the following periods:
• Account Information – retained until a deletion request is received.
• Payment Transaction Information – Indefinite, or upon contract termination, data is generally kept by Stripe for a period of five or more years from the end of the business relationship, or the date of the last transaction, whichever is later per compliance.
• Information we automatically collect from your use of the RelyChan Services – retained during the period the account is active.
• Information you provide to us that we use in connection with our sales and marketing efforts – Indefinite, until a deletion request is received.
• Other information you provide to us, as described in Section 3 of this Privacy Policy – Indefinite, however this information does not contain Personal Information.

Once the purpose for collecting and using your Personal Information is achieved and any applicable retention period is over (as described above), we will destroy the information without delay, unless we are permitted or required to retain the information under applicable law. Personal Information printed on paper is destroyed by shredding, crushing or incinerating.
Personal Information stored by electronic means is destroyed by one of the following methods:
• Completely destroying the media, so that the information stored on it can never be recovered. This can be accomplished using a variety of methods including incineration, pulverizing, and melting;
• Deleting information using methods that resist simple recovery methods, such as overwriting, which can be done using software and hardware products that overwrite the media with non-sensitive data; and/or
• Degaussing, in which magnetic media are exposed to a strong magnetic field to make data unrecoverable.
Complaint ProcessRelyChan’s process for dealing with complaints related to the protection of Personal Information generally includes:
1. Acknowledgement of receipt without undue delay.
2. Appropriate steps to confirm the identity of the complainant, and to obtain the details of the complaint as well as any relevant documentation.
3. Consideration of applicable laws.
4. An appropriate, fair and impartial investigation.
Communicating the outcome of the investigation to the complaint, including any remediation measures taken by RelyChan (where justified).
